Project Context

The concept was to develop a membership monitoring system, a system that is user-friendly to the users and also to the administrator. In many gym organizations, monitoring of the clients is a very important factor specially in identifying every individual coming in the gym. Security is at risk because of many cases outsiders who are not member bypasses by borrowing the card of the other client. To be secured our system provide RFID scanner and proximity card for the clients to protect their membership and the outsiders who were not clients in the gym can’t manage to go in. This will help the owner and the user to make their membership easier. The owner can easily monitor the users who are entering the gym and for the users they can monitor their remaining days and inform when the user account is insufficient balance and need to rebalance the membership account.

This system also monitors the age of the users, it will just only allow the user’s qualified age to go into the gym and it also monitors the elders who go into the gym and they will be assist by the instructors of the gym management. The RFID scanner will easily let the user member to enter the gym using their proximity card.

Purpose and Description

The purpose of this study is to create a system for the gym to monitor the members time in, remaining days, account balance, login history of the client and inform the client when their membership account balance is insufficient. The client just have to bring their loaded proximity card and tap it to the RFID scanner and the membership balance of the client is automatically deducted to 1 session day. If you tap it twice It will inform the member already logged in it will only deduct 1 day.

First the client have to register for membership, after that the client will obtain proximity card that contains of he’s/her information and membership balance. The client can use the proximity card once per a day to the gym, the client don’t need to tap it after he’s/her session because it is automatically reduced 1 day to the membership. If the client forgot the proximity card he or she can ask and just go to the administrator of the gym and the admin will manually search the name of the client and login the account of the client.

Value to the Customer

- Gym Membership Monitoring System using RFID is a system that enables the client to save more time, monitor their membership balance and inform when their membership will end. This study is conducted to make the client membership secured and monitored their time in by using RFID scanner and proximity card. This system will make easy for them to go to the gym without manually log in so they can save more time and can also see their login history.

Relevant Market

- The gym owners will have benefit to this system because the owner can save more time and doo less work. The related to the system the developed is Attendance Monitoring System. It maintains a daily record of a person’s arrival and departure time from work or school and it serves as a time log that is set up as a computerized database. Using RFID and Proximity card the user can access to the system. It is similar to the system that researchers developed but the difference is our system have RFID hardware that used to monitor the membership of the clients.

The researchers foresee that the system can return the investment in 1 year. Because the developers will make exist or to cause the system to the industry and this is also an opportunity for the exposure of the system to the clients who are interested to the monitoring system using RFID hardware.

- Scope and Limitations

The scope of our system in membership monitoring for the user of the gym using RFID scanner and proximity card. The RFID reader doesn’t need external power supply. By tapping the proximity card to the RFID scanner the user member will have access and their log in time will be recorded. The system has administrator to manage the accounts of the users. The admin will be the one who manage the account of new member user. The admin will load the proximity card depend on the membership of the new user enrolled. The proximity card contains load to access to the system and have the information of the client and the membership that she/he enrolled. Displays information of each member such as member picture, name, Time/Date and entrance through tapping the card to the scanner. Client have to tap only once per day to get log in and it is automatically reduced 1 day to their membership. The limitations system will run in any Windows 7, 8 and 10 versions. The system needs em4100 RFID reader and proximity card to run. The system will only access the member of the gym. The RFID is powered directly from usb. The system can only read the user proximity card by tapping it to closely to the reader.
